Basic WordPress Training: Editing and managing posts and pages

Over time, as your posts and pages build up, you’ll need a good system in place for updating and managing them.

Managing posts

First of all, let’s look at where you’ll find your posts. Hover over ‘Posts’ and click on ‘All Posts’ to see a list of all of your posts (this list includes all posts, whether they are published, scheduled or drafts).

At the top you’ll see how many pages the list covers and you can look through lists of posts by clicking the forward and backward icons.

One of the easiest ways to find a specific post is the search function. Simply type in a word associated with the title or content of the post you’re looking for and click ‘Search Posts’. A shorter list of related content will then be returned, making it easier for you to find the post you want.

You can also filter the list of posts you see here by their status. If you only want to look at drafts for example (posts that have been started, but not yet published) click on the ‘Drafts’ link at the top of the page. There are options to see the scheduled posts and the published posts too.

The last way to filter the results, is to use the dropdown menus for Date and Category filtering. So to see all posts published in a certain month for example, choose that month from the dropdown menu and click ‘Filter’.

Updating and editing posts

Once you have identified the post you’d like to work on, there are a number of ways to edit it. Underneath its title you’ll see the following links.

Edit will take you to the full post editing screen – this is exactly where you created the post in the first place and you have all the same tools available to you whilst editing it. Once you have made the required changes, simply click ‘Update’ to send them to your live site.

Quick Edit will give you a smaller range of options, but is perfect for making alterations to the title, changing the date of a scheduled post, adding and removing categories and changing the status of the post (from a Draft to Published for example). When you’ve made the changes simply click ‘Update’. If you don’t want the changes to go live, simply click ‘Cancel’.

The third way of editing posts is the Bulk Edit option. Say for example you have a number of drafts you’d like to publish all at once, simply choose the ‘Drafts’ list and check the boxes next to all of the posts you want to go live.

Then from the ‘Bulk Actions’ dropdown choose ‘Edit’ and ‘Apply’.

You’ll then see a list of the posts you are editing. Next in the ‘Status’ dropdown you can choose ‘Published’ and then ‘Update’; all of the posts will now appear on your live site.

You can make several other changes in Bulk Edit mode, such as putting the posts into a new category, changing the author, disallowing comments from visitors, and much more. Be aware that any changes you make in Bulk Edit mode will be applied to ALL of the psts in the list.

Deleting posts

If you want to get rid of a post from your site, you can do so in a number of ways. From the post editor, you can simply click ‘Move to trash’.

From the All Posts list you can hover over the title of the post you want to delete and click ‘Trash’.

You can also employ the Bulk Edit option to delete more than one post at a time.

If you accidentally delete a post, you can easily retrieve it by clicking on the Trash status link at the top of the page. Then you get a list of posts that have been sent to Trash. Any one of these posts can be restored by hovering over the title of the post and clicking ‘Restore’.

Managing and editing pages

Again, managing pages is very similar to managing posts, but there are a couple of subtle differences.

Click on Pages>All Pages.

In the list you’ll see all of your pages (whether they are Published, Scheduled or Drafts). The Child pages will be nested in a list underneath their Parent page. This structure is unique to the All Pages list as Posts aren’t organised with Parent and Child structure.

You can filter the list in exactly the same way (although you won’t see a Category dropdown as Pages don’t have categories).

Everything else on this page works in the same way as the All Posts page.
